This Privacy Policy (the “Policy”) sets forth how Treqo (address: Nishishinjuku Mizuma Building 2F, 3-3-13 Nishishinjuku, Shinjuku-ku, Tokyo 160-0023, Japan; representative: Hiromasa Noda; hereinafter, the “Company”) handles users’ personal information in “StayStore” (the “Service”).

Article 2 (Scope of Application)

1. This Policy applies to the handling of personal information and related information that the Company acquires and uses in the Service (StayStore store screens and the host/admin management screens).

2. For the handling of personal information on external websites linked from the Service, or on websites independently operated by accommodations and other external business operators that provide services through the Service (collectively, “Accommodations, etc.”), the privacy policies and similar rules of such business operators shall apply.

Article 3 (Types of Information Collected)

The Company acquires mainly the following information in providing the Service:

1. Information about guests/users
- Name, email address, telephone number
- Information related to reservations/orders, such as scheduled date/time of use, plan/option details, number of persons, etc.
- Transaction information, such as fees, payment amount, payment status, order number, etc.
- Notes and other information voluntarily entered by the user in connection with reservations/orders

2. Information about persons in charge at Accommodations, etc.
- Contact information such as name, email address, telephone number, etc.
- Host account login information (email address, password)
- Bank account information for transfers, Stripe account information, and other information necessary for payments

3. Information related to payments
- Payment amount, payment date/time, payment status, transaction ID, and other payment-related information obtained through Stripe, etc.
- Information such as credit card numbers is managed by payment processors (such as Stripe), and the Company does not store the card number itself.

4. Access information / device information
- IP address, browser information, access date/time, and other access log information that is automatically recorded to the extent necessary for operating the Service

5. Other
- Any other information obtained from users to the extent necessary for operating the Service, in addition to the above

Article 4 (Methods of Collection)

1. The Company collects the information described in the preceding Article when users input and submit it through forms on the Service.

2. When users access the Service, the Company may automatically collect the information set forth in Article 3, item 4 through cookies, logs, etc.

3. In connection with reservations/orders through the Service, the Company may receive from Accommodations, etc. and payment processors information such as reservation numbers and payment status.

Article 5 (Purposes of Use)

The Company uses the collected information mainly for the following purposes:

1. To provide, operate, maintain, and improve the Service
2. To confirm and manage reservation/order details and to share them with Accommodations, etc.
3. For Accommodations, etc. to provide services, verify identity, and respond to inquiries
4. To conduct administrative processing related to transactions, including billing, payment processing, refund handling, and other related matters
5. To respond to inquiries from users
6. To provide notices regarding the Service and important communications
7. To analyze usage of the Service, improve services, and develop new features
8. To prevent and investigate unauthorized access, unauthorized payments, and other fraudulent activities
9. To provide information (including by email) on services and campaigns offered by the Company or Accommodations, etc.
10. To use the information within a scope reasonably related to the above purposes

Article 6 (Provision to Third Parties)

1. The Company will not provide personal data to third parties without obtaining the user’s prior consent, except in the following cases:

(1) When providing information to Accommodations, etc. (accommodations and external service providers) to the extent necessary for performance of reservations/orders formed through the Service

(2) When providing information to payment processors or other business operators to the extent necessary for payment processing, billing/payment processing, etc.

(3) When required by laws and regulations

(4) When necessary to protect a person’s life, body, or property and it is difficult to obtain the user’s consent

(5) When it is necessary to cooperate with a national agency, local government, etc. in performing duties prescribed by laws and regulations, and obtaining consent may hinder the performance of such duties

2. When the Company provides personal data to third parties in cases not falling under the preceding paragraph, the Company will obtain necessary consent and create/retain required records in accordance with the Act on the Protection of Personal Information and other applicable laws and regulations.

Article 7 (Outsourcing)

1. The Company may outsource all or part of the operations necessary to run the Service—such as system hosting, data storage, payment processing, email delivery, and inquiry handling—to third parties and entrust such contractors with the handling of personal data.

2. In such case, the Company will provide necessary and appropriate supervision to ensure that personal data is handled properly, through selection, contracts, settings, management, etc. of contractors.

Article 8 (Use of Cookies, etc.)

1. The Company may use cookies and similar technologies in the Service for purposes such as maintaining login status, saving settings, and measuring traffic.

2. Users may refuse to accept cookies by changing browser settings. However, in such case, some functions of the Service may not work properly.

3. The Company may use Google Analytics to understand usage of the Service and improve it. Google Analytics uses cookies and similar technologies to collect access information. Please refer to the Google Analytics Terms of Service and Google’s Privacy Policy for details on the information collected and how to opt out.

Article 9 (Security Control Measures)

To prevent leakage, loss, or damage of personal data and otherwise ensure safe management, the Company will take necessary and appropriate measures such as the following:

1. Limiting access authority to personal data to those who need it for business purposes
2. Properly managing authentication information such as passwords and API keys
3. Preventing unauthorized external access by encrypting communications (such as HTTPS)
4. Selecting cloud services, payment services, etc. that handle personal data with consideration of their security, and managing them appropriately through contracts and settings

Article 10 (Requests for Disclosure, etc. of Personal Information)

1. In accordance with the Act on the Protection of Personal Information, users may request disclosure of their personal data held by the Company, correction/addition/deletion of content, suspension of use, or suspension of provision to third parties (collectively, “Disclosure, etc.”).

2. To request Disclosure, etc., please contact the Company at support-staystore@treqo.net with the following information:

- Name
- Contact email address
- Information necessary to identify the relevant store name or reservation number, etc.
- Details of the request (disclosure, correction, deletion, suspension of use, etc.)

3. After verifying identity, the Company will respond within a reasonable period and scope in accordance with laws and regulations. However, the Company may not be able to respond to requests regarding information that is not subject to Disclosure, etc. under laws and regulations.

Article 11 (Retention Period)

1. The Company will store personal data it has obtained only to the extent necessary to achieve the purposes of use, and will endeavor to delete or anonymize it without delay once it is no longer necessary.

2. However, with respect to information that must be retained for a certain period under laws and regulations (such as transaction records), the Company will retain it for the period prescribed by such laws and regulations.

Article 12 (Personal Information of Minors)

1. If a minor uses the Service, please use the Service only after obtaining consent from a parent or other legal representative.

2. The terms and conditions for using the Service (including age restrictions, etc.) shall be governed by the provisions of the Service’s Terms of Use.

Article 13 (Changes to This Privacy Policy)

1. The Company may change the content of this Policy as necessary.

2. If this Policy is changed, the Company will notify users by posting on the Service or by other methods prescribed by the Company, and the revised Policy will apply from the time of such notice or posting.

3. If an important change requires users’ consent under laws and regulations, the Company will obtain consent again by methods prescribed by the Company.
